4. Presenter Requirements

A. Papers submitted from within Japan

The presenters have to be JOS members who have paid the fiscal 2014 annual membership fees. There may be up to two non-member co-authors. (The number of co-authors, including the presenter, should not exceed 15, and the number of affiliations should not exceed 10.) Organizations cannot be authors.

B. Papers submitted from abroad

The presenters are required to register for the Meeting in advance. (This rule also applies to foreign students in Japan.)

Deadline for on-line submissions: 15 May, 2014 12:00 pm (Japan time)
*Any change cannot be accepted after the deadline.
*Follow the instructions of the JOS Scientific Program Committee for post-review revisions.

7. Notification of Acceptance

1. Acceptance decisions

All submitted abstracts will be reviewed by the JOS Scientific Program Committee (Accredited Orthodontists Committee for case reports). The Committee may request changes in exhibit types or in topic categories. Abstract submissions may be rejected.

2. Methods of notification

Decisions on acceptance will be posted on this Website at the end of July (no notification will be made to individual applicants).

9. Presentation Acceptance Guidelines

The abstract should meet the following requirements. Cases should be presented upon agreement by the patients.

Exhibits

1) Academic exhibits (basic research, clinical research, devices)
1. Format Follow the "12. Abstract Preparation Guidelines.”
2. Contents Should be original research of academic significance.
3. Title Should characterize the study succinctly
4. Objective Should be stated clearly.
5. Materials and Methods Should be described clearly and quantitatively. Should be appropriate for the given objective. Trials targeted at humans should observe the spirit and ethics of the Helsinki Declaration. Trials targeted at animals should also have been conducted ethically.
6. Results Should be stated clearly.
7. Discussion Should be logical.
8. Conclusion Should be stated clearly and should not be incomplete nor predictive in nature. Should agree with the title and the objective.
2) Case exhibits (Case reports of academic significance)
1. Format Follow the "12. Abstract Preparation Guidelines"
2. Contents Should be original research of academic significance.
3. Title Should characterize the study succinctly
4. Objective Should be stated clearly.
5. Case Should be given explicitly in line with the objective.
6. Discussion and Summary Discussion should be logical and clear.

10. Presentation Format

A. Exhibits

Exhibits will remain on display for two days on end. Discussions will be held between 12:00 and 13:00 on Wednesday, October 22. A presenter should attach his/her ID photo (color, 2L size) on the left end of the title and be in front of his/her own exhibit at the designated time. We provide panels with a usable surface of 120 cm in width and 180 cm in height. Those who wish to use a desk and/ or electricity supply (indicate wattage) should indicate so in the Abstract Submission Form. As a general rule, only one panel is allocated to each presentation.

B. Oral Presentation

A presenter has eight minutes for presentation and two minutes for questions and answers. Topics are selected from submitted abstracts. Details will be provided to relevant individuals separately.

11. Notes on On-Line Abstract Submission

Read the following instructions carefully and submit your abstract well in advance of the deadline.
1) Computer environment

The Secretariat assumes no responsibility for any problems with submission of abstracts due to the user's computer environment.

In the UMIN online abstract submission system, browsers other than Internet Explorer, Netscape, Safari, and Firefox are not available. Please do not use any other browsers. For Safari, please use version 2.0.3 (417.9.2) or after.

2) Deadline for on-line submissions

The on-line submission page will be closed on May 15, 2014, 12:00 pm (Japan Time)
Congestion is anticipated in access to the Website right before the deadline. Submit your abstract well in advance to avoid possible problems.

3) Difference between the registration and confirmation pages, the registration number and the password

You should use the registration page when submitting your abstract for the first time. To make any revisions, you should use the confirmation page for your registered abstract. You will then need a registration number, to be automatically issued, and a password you have chosen.
Please keep the registration number and the password to yourself.

You should use the registration page only once for each abstract. The confirmation page should be used thereafter.

Please note that if you use the registration page at each revision, multiple registrations will be created for the same abstract.

12. Abstract Preparation Guidelines

Read the following guidelines carefully before submitting your abstract. Papers that fail to observe them may be rejected.
1) Affiliations and authors

The number of affiliations must be 10 or less. Please also limit the number of co-authors, including the presenter, to no more than 15.
Capitalize only the first letter of the first name of an author, and capitalize all letters of the family name.

2) Topic categories

There is a list box of topic categories to choose from.

3) Title of the abstract

The title of the abstract, when in English, should contain no more than 15 words. A capital letter should be used only at the beginning. A period at the end is not necessary.
Superscripts, subscripts, italics, bold types and underlines may be used in the title of the abstract. Please read the instructions given immediately above the abstract body input space on the registration page.
Please do not use line breaks.

4) Main body of the abstract

The main body of the abstract, when in English, should contain no more than 250 words.
It is recommended that the text of the abstract be prepared using your word processing software and be pasted onto the form using the copy and paste feature.

Units Use CGS ( centimeter-gram-second ) units for measurable quantities.
Graphs and Tables Graphs and tables cannot be attached to abstracts.
Use of trademarks As a general rule, use of trademark names is not permitted. When their use is inevitable, please give them in parentheses following generic names. Trademarked names should not be used in a title.

5) Total number of words

Affiliations and (co-)authors, the title of the abstract , and the main body of the abstract, when in English, should contain no more than 370 words.

6) References

When necessary, only one reference may be given at the end of the abstract in the format "First author (Abbreviated journal name, year issued)."

7) Application for the use of a desk and electricity supply

Fill in the corresponding check boxes if applicable. Please also indicate wattage when you are using an electrical appliance other than a PC.

The power voltage in Japan is 100 volts. The frequency is 50 Hz in eastern Japan, including Tokyo, and 60 Hz in western Japan, including Kyoto, Osaka and Nagoya.

The sockets in the poster exhibits room accept two-legged plugs only. Most U.S. products not requiring three-way sockets may be used. Please be sure, however, to check the manuals of your computer and/or electric appliances beforehand.

8) Notification

Basically, final managerial responsibility for exhibit materials lies with presenters (owners). The Secretariat assumes no responsibility for lost or stolen materials. Please be careful about their management.

To ensure patients’ safety and to protect their rights, the contents of your exhibit should be closely examined, especially if it is a clinical report about medical equipment not approved by or used beyond the applicability of the Pharmaceutical Affairs Law, in order not to arouse doubts about its legality or create misunderstanding in light of the Helsinki Declaration, Medical Care Law, Pharmaceutical Affairs Law, and other laws and rules.

13. Excellent Presentation Award

The Excellent Presentation Award is designed as below.
  1. Purpose: To publicly honor excellent exhibits at the annual meeting and boost members’ morale for the meeting exhibition
  2. Subjects of award: Exhibits consisting of an academic exhibit and a case exhibit, and oral presentation. The number of awards depends on the fields of the exhibits.
  3. Screening: Selected by the Screening Committee consisting of the Scientific Program Committee members and several other members additionally designated by them.
  4. Commendation: Award granted under the name of the Chairperson of the JOS. Award-winning exhibits are displayed with a citation at the meeting and are also published in JOS academic journals. An award certificate is presented to the first award winner.


When submitting your abstract as the subject of the award screening, please select "We hope to be a candidate." at the item of Nomination for the Excellent Presentation Award in the Abstract Submission Page.
